Personal Information: We collect personal data that you voluntarily provide when registering for an account, posting job listings, applying for positions, requesting a demo, or communicating with us. This may include your name, email address, phone number, company details, resume information, application responses, and other content you choose to provide.
Usage Data: We collect information about how you use the Service, such as your IP address, browser type, pages visited, device information, and technical diagnostic data. This helps us improve the Service and ensure its security.
Talent Pool Consent: We only add candidates to NeoCru's internal talent pool if they explicitly opt-in by ticking the talent pool checkbox during their application process. No candidate is added without their clear consent.
2. Responsibilities of Companies and Candidates
NeoCru provides a platform for companies and candidates to connect. Each company using NeoCru’s Service is responsible for complying with applicable privacy laws, including the GDPR and Dutch AVG regulations, regarding the data they collect, process, and store about candidates. NeoCru is not responsible for how individual companies manage applicant data outside our platform.
If NeoCru becomes aware that a company or user is misusing personal data or violating GDPR, we reserve the right to issue a warning, suspend, or permanently ban the account depending on the severity of the situation. We take data protection seriously to safeguard the trust of all users.
Similarly, candidates must use the Service lawfully and may not misuse other users' personal information accessed through NeoCru.
3. Cookies and Tracking Technologies
NeoCru uses cookies and similar tracking technologies to enhance your experience, improve functionality, and maintain the security of our website and services. Currently, we use:
- Essential Cookies: Necessary for the operation of the Service, including session management, authentication, form handling, and basic analytics. These cannot be disabled as they are required for the platform to function.
At this time, we do not use any third-party advertising, retargeting, or social media cookies. Your browsing behavior is not shared for advertising purposes.
We reserve the right to introduce optional cookies (such as tracking or marketing cookies) in the future to further improve user experience. If we do, we will ask for your explicit consent before activating any non-essential cookies, in compliance with GDPR and applicable data protection laws.

4. How We Use Your Information

- Monitoring usage patterns and diagnosing technical issues to keep NeoCru fast, reliable, and secure.
- Complying with applicable legal obligations, enforcing our Terms of Service, and protecting the rights and safety of users.
We also reserve the right to use AI technologies to assist with resume and application analysis. This use is strictly limited to helping recruiters identify applicants who may match their job requirements based on predefined criteria.
NeoCru does not make hiring decisions, rejections, or automated selections on behalf of companies. All hiring decisions are made solely by the recruiters and companies using the Service. We are not responsible for any misuse, misinterpretation, or unlawful treatment of candidates by recruiters or employers.
For candidates who voluntarily opt into our Talent Pool, we may use AI-based tools to proactively suggest suitable candidates to companies. Recruiters will be able to view limited candidate profile information and may contact candidates directly for relevant opportunities.
Candidates in the Talent Pool are not automatically applied to any job — they retain full control over their application choices and responses.
These recommendations are intended to assist recruiters in discovering potential fits more efficiently and to connect international talent with opportunities they might otherwise miss.
We use AI-based tools to assist recruiters by recommending suitable candidates from our Talent Pool. However, we do not make hiring decisions or automatically apply candidates to jobs. All final decisions regarding candidate selection are made manually by recruiters and candidates.
We do not engage in fully automated decision-making that produces legal effects concerning individuals without their explicit consent.
5. Sharing of Your Information
We do not sell your personal data. However, we may share your information with trusted third parties as necessary to operate NeoCru effectively:
- Service Providers: We use reputable third-party services for hosting, infrastructure, data storage, email delivery, and AI-based processing. These include platforms such as Heroku (for database), Google Cloud Platform (for storage, hosting, and infrastructure), and OpenAI (for certain AI-powered features). All service providers are contractually required to protect your data and comply with applicable data protection laws.
- Legal Requirements: We may disclose your information to authorities if required to comply with a legal obligation, to protect our rights or the rights of others, or as part of legal proceedings.
- Business Transfers: If NeoCru undergoes a merger, acquisition, or asset sale, your information may be transferred to the relevant third party as part of that transaction. We will notify you of any such event as required by applicable laws.
We carefully vet all partners and only work with those who demonstrate strong data protection practices.
6. Data Security
NeoCru implements appropriate technical and organizational measures—such as encryption, access controls, and regular security assessments—to protect your personal information against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure.

Where available, users are expected to exercise their rights through self-service options provided in their NeoCru account (e.g., Talent Pool profile management, data deletion options). If you are unable to exercise your rights through these tools, you may contact us. We may require reasonable proof that self-service was not possible before processing manual requests.
Please note that some rights may not apply in certain cases (for example, where data must be retained by law), and NeoCru reserves the right to verify your identity before fulfilling any request to protect against unauthorized access.
You also have the right to lodge a complaint with a supervisory authority, such as the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
8. International Data Transfers
Your personal information may be transferred to, stored in, or processed in countries outside your country of residence, including the United States and other jurisdictions where our service providers (such as Google Cloud Platform, Heroku, and OpenAI) operate.
Whenever we transfer your data internationally, we ensure that appropriate safeguards are in place to protect your personal information, including the use of Standard Contractual Clauses (SCCs) approved by the European Commission, Data Processing Agreements (DPAs), and other legally recognized mechanisms.
NeoCru prioritizes using cloud services and infrastructure based in the Netherlands or the European Union whenever possible to minimize international transfers and better comply with EU privacy standards. However, some data processing activities may still involve trusted partners outside the EU.
By using our Service, you acknowledge that your information may be transferred to and processed in jurisdictions that may have different data protection rules than your country. In all cases, we will take appropriate steps to ensure your privacy rights continue to be protected.
9. Data Retention
NeoCru retains your personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws and regulations.
- Job Applications: Applicant data is retained until the associated job posting is closed by the company, after which recruiters are encouraged to delete applicant data they no longer require. Applicants can also request deletion directly from companies or through NeoCru if needed.
- Talent Pool Data: Candidates who opt into the Talent Pool can view, manage, and delete their profile at any time through their NeoCru account settings, without needing to contact support.
- Recruiter Accounts: Recruiter and company account information is retained until the user requests deletion or becomes inactive for an extended period (as determined under NeoCru's data management policies).
- Contact Requests and Demo Requests: Communications sent through contact forms are retained as long as necessary to respond and for a short archival period, after which they are securely deleted unless further consent is given.
Users are encouraged to use built-in account settings for managing or deleting their data where available. If a user requests manual deletion, NeoCru reserves the right to first verify whether the request can be self-managed through platform tools before proceeding. Proof may be required in case of a manual deletion request.
Once data is no longer needed, it is securely deleted, anonymized, or retained only in limited cases where legally required (e.g., for tax, fraud prevention, or security purposes).
10. Children's Privacy
NeoCru is not intended for individuals under the age of 16. We do not knowingly collect personal data from children. If we discover that we have inadvertently collected information from a child, we will promptly take steps to delete that data.

NeoCru is growing and evolving quickly. As such, we may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal obligations.
